HR managers spend much of their time calculating personnel costs, analyzing organizational charts, determining top talent rates, and so on. However, in major corporations with lots of departments and areas, departmental managers are often entrusted with personnel tasks, too.

Thanks to iPeople, managers can access information from the HR department and call up key figures while they’re away from their desks. In our article HR Management, Meet iPad , we already gave you a brief introduction to this new app from Sovanta.

Now, we take a closer look at the app. Read on to find out more about:

How to use iPeople

The app is available free of charge from the App Store. However, you need to run SAP ERP HCM in order to make use of the app because it retrieves all the necessary data from this system.

From fluctuation rates and age structures in the individual departments through employee satisfaction, iPeople makes all-important HR information available on managers’ iPads.

When the app is opened, the screen shows the department for which the manager is responsible. In the menu, the individual employees in the team can be displayed, along with relevant key figures. In the navigation bar at the bottom, users can choose between the menu options Organization, Regions, Top/Low Lists, Events, and Info.

When you tap on the employee, the following data and KPIs appear:

  • Number of FTEs
  • Number of employees
  • Beginner rate
  • Sick days per FTE
  • Nationalities
  • Vacancies
  • Vacation days per FTE
  • Length of service
  • Average age
  • Fluctuation rate
  • Proportion of women promoted
  • Proportion of women
  • Proportion of women in management
  • Management-to-employee ratio
  • Annual basic salary
  • Target annual salary
  • Low performer rate
  • Macro team rate
  • Manager stability rate
  • Manager assessment
  • Micro team rate
  • Employee satisfaction
  • Successor rate
  • Top manager stability rate
  • Top talent promotion
  • Top talent rate

A type of early warning system informs managers in good time about individual employees’ birthdays and company anniversaries but also lets managers know as soon as the fluctuation rate in a department rises particularly sharply or employee satisfaction drops significantly. And using a type of visual scroll wheel, users can also display the information they need themselves.

An interesting new feature is that of the top/low lists, which enable outliers to be identified. Business intelligence tools such as SAP BusinessObjects Explorer can be integrated, too. As a result, users can perform many comprehensive analyses.

Major corporations will welcome the fact that all personnel data can be managed worldwide with iPeople. A map of the world displays the different regions, such as EMEA, America, and Asia (APJ). In an information window, the FTEs, fluctuation rate, and employee satisfaction are shown. But iPeople can go into much greater detail than that: If you tap on Europe, the app displays information from the individual regions, like Northern Europe, Southern Europe, Central Europe, Eastern Europe, and so on. Here, too, users can sort the information according to key figures.

These include:

  • Sales KPIs
  • Project KPIs
  • Development KPIs

But HR departments do much more than just administer employee data. They also have to take care of financial aspects. Thanks to iPeople, managers can keep tabs on the following areas, regardless of time or place:

  • Total costs (budget, planned/actual, deviation)
  • HR costs
  • Travel expenses
  • Costs for external service providers

Security

Employee data and personnel files are confidential and must be handled particularly sensitively. Managers need not fear that by having the iPeople app installed, they will be carrying all their company’s HR data around on their iPad for all to see. The data remains in SAP ERP HCM; it does not physically leave the system. Special technology enables the data to, first of all, be stored in the back end. That’s also where the app calculates the KPIs required. After that, they are displayed on the user’s iPad. However, all the data stays in the main memory. Nothing is saved on the iPad.

A secure password is now standard for all business apps. Single sign-on offers additional protection: Here, the iPad and SAP system are linked together with a certificate and exchange this using a secure SSL connection.

Compatibility and use

To be able to use the app, you need SAP ERP HCM. iPeople is designed for SAP ERP 6.0 including all available enhancement packages, but works with earlier versions, such as SAP R/3.

Sovanta recently implemented iPeople at SAP itself. Currently, between 30 and 50 employees are piloting the app. The number of users is slated to be increased to 350 soon.
