Campaign planning, project management, asset accounting, profit analysis – the compact ERP solution SAP Business ByDesign covers all of your company’s key business processes at a price suited to any budget. It provides on-demand access through a Web browser, and with SAP handling all of the necessary hosting, it requires no server racks or other additional hardware.

The solution comprises various modules you can assemble to meet your particular needs in areas such as:

Modular software

While you can configure SAP Business ByDesign’s user interfaces and dashboards as you see fit, the addition of more complex customization and functionality is not supported. This reflects SAP’s effort to market the solution toward small businesses and midsize companies in industries such as retail and services. Such organizations often want to handle their accounting with more than just a spreadsheet program, but would be overwhelmed by the scope of an application like SAP ERP.

Designed to support a minimum of 10 users, SAP Business ByDesign is also very easy to use. At startup, the solution’s personalized Work Center displays all of your current activities, and the Collaborative Window lists frequently-used functions of SAP Business ByDesign and Microsoft Office.

And that’s just the beginning: In mid-2011, SAP partners will also begin offering industry-specific add-ons on SAP STORE for tasks such as timesheet recording. Users will then be able to purchase these apps and integrate them directly into their SAP Business ByDesign solution.

Starter packages for SAP Business ByDesign

Specialist SAP partners like Steeb and Arvato offer starter packages for customer relationship management, enterprise resource planning, and service provision.

The CRM starter package covers all of the key processes in sales and marketing, including campaign planning, analysis, contact management, lead generation, and the assessment and entry of sales opportunities.

The user interface is customizable for each individual user, providing marketing managers, for example, with a start menu that includes a comprehensive overview of customer data. This serves as a starting point for evaluating inquiries and complaints through different communication channels, getting in touch with customers, passing customer contacts on to sales, and other activities.

From finances to project planning: A detailed look at the entire functional scope

SAP Business ByDesign includes functions to help you manage customers, finances, projects, employees, suppliers, production and logistics, and legal compliance. You can assemble individual modules into a solution that meets your specific needs.

Customer relationship management

The CRM module maps all of the workflows needed to manage customer relationships. With it, you can conduct campaigns, oversee customer contacts, and forward orders to employees in sales.

Finance

The module for finance serves as a point of confluence for all payments while enabling employees to post to general ledgers, keep stock records, and manage cash and liquidity. It also tracks material consumption, production performance, and overhead costs and factors in whether payments are made by check, bank transfer, or credit card.

In the primary general ledger, the module enables users to monitor their company’s current financial status. In doing so, it takes the Generally Accepted Accounting Principles (GAAP), International Financial Reporting Standards (IFRS), and all other common guidelines into account.

Parallel financial reporting is also supported in SAP Business ByDesign, which makes it possible to create ledgers for different fiscal years at the same time.

The module’s asset accounting functions automatically calculate depreciation and status values while factoring in interest.

Profitability analyses and calculations of projects and costs all take place in the internal accounting menu.

SAP Business ByDesign supports all of the country-specific regulations governing tax statements, as well as value-added, withholding, and other types of tax.

Finally, the finance module offers much more than just accounting functions. It can also perform analyses and profit forecasts based on SAP Crystal Reports.

Project management

Project management is about assigning the right tasks to available employees, creating plans and offers, and rendering the corresponding accounts.

With the project management module for SAP Business ByDesign, you can enter sales orders and offers, record time worked and jobs completed, create invoices, calculate costs, and post processes. Predefined templates make it possible to carry out projects in a standardized fashion, and as an added highlight, multiple external employees can access the solution at the same time. SAP Business ByDesign also supports the settlement of travel and related expenses.

Based on key figures, employees can monitor a number of important statistics, including capacity utilization, profitability per project, the number of projects completed on schedule, the cost of staffing and carrying out projects, customer satisfaction, resource utilization, and rates of staff turnover.

Human resources

In the human resources module, users can handle payroll, record working time, and create work schedules. Employees in human resources can also administer personnel files and time accounts in a digital format.

Supplier management

Purchase requisitions, order processing, and invoice verification are all the domain of the supplier management module. With the help of SAP Business ByDesign, employees can create tendering documents, store information on materials, manage catalogs, view list prices and order confirmations, and monitor the receipt of goods. The solution also aids in procuring stock material, and managing and accepting supplier invoices.

Production and logistics

In production and logistics, flows of goods and materials are crucial. SAP Business ByDesign makes it possible to view bills of materials, plan for requirements, handle returns, and manage quality assurance and inventory management while supporting technologies such as RFID.

Legal compliance

SAP Business ByDesign also includes a module that supports compliance with various laws and standards. It accounts for regulations governing financial statements, labor and tax law, foreign trade, financial reporting, employment and income tax, and data protection.

Security

Security is one of the primary aspects of SAP Business ByDesign. Instead of being housed in your company’s basement, the server racks on which the solution runs are kept at an external location and protected against hazards like flooding and unauthorized access. Nevertheless, many companies balk at the prospect of outsourcing their data.

However, SAP offers the highest possible level of protection. The company’s server racks are located at its own maximum-security data centers in Walldorf and St. Leon-Rot, Germany, where direct support is available around the clock. Customers also have constant access to these facilities through an encrypted VPN connection.

Meanwhile, reverse-proxy server farms keep the corresponding network hidden in the process of establishing connections, and access rights can be granted based on roles. Special firewalls and programs offer additional protection and watch for access attempts by unidentified users. SAP also has independent experts inspect its network security several times each year.

SAP Business ByDesign on iPhone and iPad

Need to approve or reject price lists, view offers, and manage incoming payments – all while on the go? The version of SAP Business ByDesign now available through iTunes makes it possible on iPhone and iPad, provided that users also have the full version of the solution. The mobile app also makes it possible to generate personalized reports, manage leads and opportunities, check product availability, and place orders.

The dashboard version, specially designed for iPad, mainly enables users to conduct analyses and make forecasts (see also “Business ByDesign on iPad”).

The next SAP Business ByDesign Feature Pack – scheduled for release in mid-2011 – will also bring the solution to BlackBerry, Android, and Windows devices.
