SAP delivers retail efficiencies for Hays Logistics

integrated system eliminates duplicated data entry, training tool simplifies user education

LondonHays Logistics UK, a division of Hays plc, the business services group, has implemented mySAP Supply Chain Management within its Food Logistics division in support of several major contracts.

The new, single, integrated solution will provide much greater control over inventory management, provisioning and re-ordering as well as giving greater efficiencies within the finance and administration areas. All of this is supported by a seamless audit trail from order capture through to delivery and billing. Hays and its customers will also be able to make efficiency gains through a reduction in the number of system interfaces and reduced data duplication.

SAP partner, Axon, was chosen to handle the implementation owing to its understanding of Hays’ supply chain and previous delivery record.

Hays utilises mySAP CRM to capture order details, check order status and drive customer contact, which then integrates with the mySAP SCM solution to fulfil orders. The real-time nature of SAP has helped to improve delivery operations by allowing last minute changes to orders to be captured within the system, avoiding manual processing.

Within the FMCG sector, product availability is a key factor, with customer satisfaction being measured by the ability of their Logistics provider to consistently deliver ordered product within ever shortening time windows. For successful large-scale operations, having a real time fully integrated solution is the only way that complex customer requirements can be met.

Jerry Austen-Smith , Business Sector Director for UK Logistics commented “The ability to move further up a customers supply chain is a key consideration for Logistics businesses; having a fully integrated system covering all aspects of the supply chain and associated finance activities has given Hays a ‘go to market’ offering that provides a fully outsourced managed solution including provisioning, stock ownership, e-billing and debt collection”

“Migrating to SAP has given us a solid platform from which we can deliver future benefits, such as the deployment of RF technology (hand held terminals) and e-POD (Electronic Proof Of Delivery),” said Nick Ensor, Progamme Director at Hays. “Being an existing user of SAP, we knew we could expect the benefits that come from tried and tested software and high quality support. Feedback from users shows that SAP has already had a positive effect on operations”.

mySAP SCM is currently used by 120 users in five of Hays Logistics’ distribution centres to handle the procurement, managed inventory, deliveries and billing for the Hays Food Logistics operations. This includes the non-petroleum produce to all BP directly managed retail outlets in the UK.

Hays also used SAP’s Simulation Training Tool (STT) to train users in how to use the solution. SAP prepared and delivered all the necessary training documentation and lessons within a month for Customer Services and Warehouse activities.

Damian Bull, Axon project manager said, “Hays presented us with complex requirements across its warehouse network, including cross-docking and batch traceability. This, coupled with a telesales operation and a need for query resolution within a time-critical environment, led to Hays and Axon implementing a highly sophisticated SAP solution.”

“With pressures such as high fuel costs and congestion charges facing the logistics sector, the drive for greater efficiency has become essential,” said Rob Harrison, account manager, services industries, at SAP. “Hays Logistics has identified how SAP solutions can be translated into benefits, such as greater efficient use of resources, and passed these onto their customers.”
